Fleet Operations Specialist

The Fleet Manager plays a vital role in ensuring the efficient management of our company vehicles, maintaining compliance with legal requirements, and providing excellent support for drivers and internal teams.

This position involves coordinating services and repairs, managing vehicle documentation, and maintaining the fleet management system to guarantee seamless fleet operations. Key responsibilities include:
  1. Arranging for the installation of vehicle trackers and dashboard cameras, working with external providers to ensure timely setup and smooth operation for all fleet vehicles.
  2. Scheduling and booking all MOTs, servicing, and maintenance for vehicles, ensuring compliance with legal requirements and that all vehicles are roadworthy.
  3. Using the Fleetcheck system to track upcoming MOTs, services, and renewals, ensuring all deadlines are met and relevant documentation is updated in real-time.
  4. Managing the collation, processing, and payment of all fixed penalty notices (FPNs) and penalty charge notices (PCNs) related to the fleet, ensuring timely resolution and proper documentation.
  5. Maintaining open communication with the vehicle insurance company to ensure accurate coverage of all vehicles, reporting claims, and managing any insurance-related queries or issues promptly.
  6. Overseeing the ordering, distribution, and administration of company fuel cards, ensuring that each driver has the necessary resources to perform their duties.
  7. Conducting thorough and regular vehicle inspections, logging any wear and tear or damage. Taking action to arrange repairs where necessary and keeping detailed records of inspection outcomes.
  8. Administering additional vehicle charges such as the Dart Charge, congestion charges, and other service fees, ensuring all charges are tracked and paid on time.
  9. Implementing driver training programs to promote safety and fuel-efficient driving practices. Additionally, monitoring driver behavior and enforcing company policies to ensure responsible vehicle usage.
  10. Collaborating with heads of departments to ensure they plan the most efficient routes, reducing unnecessary driving and fuel waste.
  11. Negotiating discounted rates with repair shops by bringing them a steady stream of business from the company fleet.


Salary: £45,000 - £55,000 per annum, depending on experience.
