Job Summary:
The Senior Central Operations Executive will be responsible for ensuring the accuracy and synchronization of sales system information with master data and finance systems to generate accurate invoices. This role will also be the first point of contact for any invoice queries and will maintain customer data to keep it aligned with downstream systems.
Main Responsibilities:
- Manage customer invoice disputes and process credits/recharges in accordance with Sales Ops SLA's and company guidelines.
- Ensure that credits processed are in accordance with the services agreed and provided at the booking stage. Discuss alternative points of action if this is not the case.
- Prepare all Print and Digital orders for monthly invoicing, including the placement of billing blocks where necessary.
- Provide regular and consistent reports to key stakeholders on any risks to revenue, including Unbillable Reports, Credit and Dispute Trackers, and Pre-Stop/On-Stop reports.
- Conduct digital advertising reconciliation at month end.
- Manage the detection and prevention of duplicate accounts and keep to a minimum.
- Possess and maintain a good understanding of Digital Sales, Print Sales, and Credit Control. Ensure that knowledge of processes and internal departments is regularly updated, where necessary, according to any business changes.
- Liaise with the reporting team to ensure consistent and accurate reporting of revenue and work with the team to rectify any revenue discrepancies that occur.
- Comply with and fulfill audit requests as and when they are received.
- Manage queries to ensure resolution within agreed timescales.
- Produce ad hoc reports when required.
- Manage and maintain special bespoke billing requests.
- Manage prepay refunds and load cash batches.
- Create digital check sheets throughout the month and at month end digital checks for digital reconciliations.
- Generate daily invoicing batches.
- Carry out detailed initial checks and review checks of invoice batches to ensure all information is correct.
- Provide the first point of contact for all customer invoice queries and ensure they are resolved within agreed timescales.
- Ensure invoice queries are fully investigated and credit notes are processed in accordance with appropriate procedures.
