Key Responsibilities:
  • Set up CRM projects and generate work completion certificates
  • Execute sales order contracts and maintain accurate records
  • Arrange pre-start meetings, prepare documentation, and issue minutes to stakeholders

  • Handle stock material requests and replenishment to support project needs
  • Manage the administrative process for all projects within the team, ensuring seamless coordination
  • Update programmes and project requirements to reflect changes and progress
  • Create, print, and distribute site files for the Project team, maintaining confidentiality and security
  • Assist with compliance, management, and closure of key stages and documentation, ensuring accuracy and timeliness
  • Raise sub-contractor payment certificates for Project Manager sign-off, ensuring prompt payment
  • Address invoice queries and manage project documentation, resolving issues efficiently
  • Control system updates and uploads, maintaining data integrity and security
  • Produce weekly cost reports for all projects, tracking profitability and identifying areas for improvement
  • Organize surplus material returns to suppliers, optimizing inventory and reducing waste
  • Create and manage project files, ensuring easy access and retrieval
  • Scan and file all project returns, maintaining a secure and organized digital archive
  • Maintain business logs and manage shared inboxes, ensuring prompt response to queries and requests
  • Handle incoming project enquiries, providing accurate and timely information to stakeholders
Requirements:
  • Proven experience in a strong administrative role, with a focus on project support
  • Experience working in a fast-paced environment, with excellent time management and organizational skills
  • High-level communication skills, both face-to-face and over the phone, with the ability to interact with various departments and external contacts
  • Proficient in Microsoft Office applications and various specialist software, with a willingness to learn and adapt
