Job Description

We are seeking an experienced Administrative Coordinator for Events Management to join our team at Hamlin Knight.

Main Responsibilities:

  • Manage relationships with speakers, ensuring seamless event execution
  • Collaborate with the Courses team to ensure timely payments and accurate record-keeping
  • Book venues and accommodations for events, guaranteeing a smooth experience for attendees
  • Create events on the CRM system and maintain up-to-date website information
  • Liaise with members regarding event bookings and administration tasks
  • Compose promotional materials via email campaigns to enhance event visibility
  • Process invoices and liaise with industry suppliers to facilitate efficient operations
  • Ensure accuracy in spreadsheets and action items are recorded and addressed
  • Attend events in person, including overnight stays, to ensure exceptional customer service
  • Setup venues prior to conferences, requiring flexible out-of-core hours work
  • Maintain communication with speakers, exhibitors, attendees, and venue staff during events
  • Support the exhibition stand at conferences and address attendee inquiries
  • Organize and host webinars to engage audiences effectively
  • Handle phone calls for the Events and Courses team
  • Assist the Courses team as needed, providing comprehensive support
  • Perform additional responsibilities or tasks assigned by management

Requirements and Skills:

  • Exceptional communication and interpersonal skills
  • Proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel
  • Strong knowledge of Outlook for efficient email management
  • Excellent organizational abilities

Education and Experience:

A minimum of 1 year of experience in administration and 1 year in customer service

The successful candidate can expect:

a competitive salary of £25,000 - £30,000 per annum, excellent training and progression opportunities, hybrid working arrangement after probation, corporate bonus, 25 days of holiday rising with service, and more. In terms of location, we operate primarily from the UK.
