We are seeking a highly organized and tech-savvy Personal Assistant to join our Legal and Business Integrity team at Ocado Group. As a key member of the team, you will provide administrative support to our Governance, Risk, Compliance, and Sustainability leaders, ensuring the smooth operation of our business.

Responsibilities

  • Manage the diaries of our senior leaders, coordinating internal and external meetings, and ensuring seamless communication across the business.
  • Provide proactive administrative support, including organizing meetings, preparing presentations, and facilitating domestic and international travel arrangements.
  • Assist with the onboarding of new team members, including supporting managers with equipment requests and ensuring a smooth transition into the team.
  • Support the team with the use of tools such as Box, Plexus Gateway, Brightflag, Workday, and Google Suite.
  • Manage the payment and tracking of invoices, as required.
  • Provide practical support, including filing, binding, printing, ordering stationery, and dealing with technical issues.
  • Support the team with events, including Town Halls, Business Updates, Live Streams, Away Days, and Social Events.
  • Manage the LBI Team distribution groups and Slack channels, auditing them quarterly.
  • Create purchase orders and liaise with Finance.
  • Organize and attend meetings, taking minutes, facilitating discussions, and ensuring managers are well-prepared.
  • Meet and greet visitors, liaise with clients, suppliers, and employees.

About You

  • Previous experience in diary management and organizing meetings using Outlook or Google Suite.
  • Highly organized, with excellent time management skills and a flexible approach to work.
  • Proven experience working in a fast-paced business, prioritizing tasks, and adapting to changing circumstances.
  • Excellent communication skills, able to interact confidently with individuals at all levels, including senior managers, directors, and clients.

Desirable Skills

  • Previous experience in an in-house Governance/Risk/Compliance department or Corporate department.
  • Demonstrated experience or interest in Governance teams' ways of working.
  • Document management skills.
