Bid Coordinator Job Description

A leading civil engineering firm is seeking a skilled Bid Coordinator to support its team in the preparation and production of PQQ and Tender submissions.

Key Responsibilities:

  • Manage PQQs in accordance with the level of experience and complexity of the bid, ensuring timely completion.
  • Ensure compliance with work-winning processes and procedures to manage submissions and bid-related information.
  • Support briefings and progress meetings, maintaining auditable records of actions agreed for each bid.
  • Initiate and produce non-technical written responses for submissions, including references, case studies, CVs, and project experience.
  • Support contributors with content development and responses, assessing whether questions are being answered.
  • Manage inputs from contributors, ensuring they are aware of deadlines and chasing where necessary.
  • Maintain, organize, and collate documents and supporting information for each proposal, ensuring high-quality information.
  • Provide feedback to the Head of Submissions and Bid Managers on progress with coordination and collation of information.
  • Create the final publication and ensure the bid is delivered to the client on time.
  • Produce the final submission in liaison with submission team members, ensuring timely delivery via hard copy or electronic portal.
  • Maintain a document management system, ensuring a complete record of the submission is maintained for future review or scrutiny.
  • Support administration with document controlling duties.

Required Skills/Experience:

  • Over two years' experience in working in a bidding or similar environment.
  • Strong administration skills, with good attention to detail and the ability to multitask.
  • Demonstrated previous experience of working within the bidding or similar process.
  • Creating and handling graphic images for inclusion in submission documents, requiring experience with software packages such as Microsoft and Adobe.
  • IT literacy and confidence, with experience of MS Office software, particularly Word.
  • Excellent communication skills and the ability to build strong relationships internally and externally.
