Job SummaryThe Helpdesk Supervisor will provide operational administrative support to the Helpdesk Manager, contracts manager, and onsite team, ensuring the effective and efficient operation of the onsite helpdesk.
Key Responsibilities- Computerised Maintenance System Management: Overall control of the computerised maintenance system on sites, which fall under the group portfolio.
- Site Asset Management: Management of site assets, including coordination of work with onsite building assistants.
- Subcontractor Coordination: Organisation of planned and reactive sub-contractors, including management reports and work in progress reports.
- Financial Management: Issue of monthly PPM invoices, additional work and/or material invoices, and assistance with compilation of financial spreadsheets.
- Procurement: Raising all necessary paperwork to procure subcontract services in line with company policies and contract specific service levels.
- CAFMS Management: Provide day-to-day management of the CAFM system to ensure contractual obligations are met.
- Communication: Proactive liaison with technical staff, engineers, managers, and clients/end users to ensure accurate, relevant, and timely communication is maintained.
- Reactive Jobs: Raising reactive jobs in line with contract/SLA requirements and allocating accordingly.
- Cost Management: Cost logs, paying subcontractors & suppliers, and booking in subcontractors.
- Customer Service: Provide exemplar customer service to all internal and external stakeholders.
- Reporting: Assistance with monthly reports, quotes/client quote logs, and timesheets - agency overtime.
- Training: Train any new starters within the helpdesk.
- Meetings: Attend monthly meetings alongside the helpdesk manager with the client and attend interviews for any new potential candidates.
- Computer Skills: Good computer skills, especially in Word and Excel.
- PPM & Reactive Systems: Working knowledge of PPM & reactive systems.
- Data Input: Working in a role requiring high volume data input with good numeracy skills.
- Communication: Excellent communication skills, both written and verbal.
- Confidentiality: Ability to confidentially deal with clients, managers, engineers, and sub-contractors.
- Previous Experience: Previous experience of using a CAFM system and previous helpdesk experience required.
