Your responsibilities will include:

  • Managing and processing monthly invoices and credit notes via a template system (Ms Excel) and maintaining a fee register.
  • Proactively managing and maintaining diaries.
  • Arranging the booking of meeting rooms, video / conference facilities, refreshments, restaurants, taxis etc.
  • Responding and dealing with external or internal telephone calls.

  • Maintaining an electronic filing system.

  • Proof reading work to ensure consistent accuracy and high standard.

In addition, you will be responsible for:

  • Scheduling receipt of Contractors drawings and keeping a record of Drawings.
  • Contacting the Design Team when necessary to chase any missing information
  • Maintaining registers of Question and Answers monitoring responses and producing weekly reports on outstanding questions
  • Taking and preparing minutes from meetings and issuing action schedules to team
  • Preparing packages of documents for issue.
  • Entering all information into site register
  • Owns the business processes associated with document management. Sets document management standards and monitors performance against them, taking corrective action when required.

We are looking for a highly organized and detail-oriented individual with excellent communication skills and the ability to work autonomously. If you have experience in project coordination and document control, we would love to hear from you.

To be successful in this role, you will need:

  • Demonstrable experience in all aspects of Project Co-Ordination and Document Control in a project environment.
  • Advanced in Microsoft Office essential. Ms Excel is used predominantly.
  • Confidence and experience in advising and communicating with decision makers at senior levels.
  • Enthusiasm, confidence, and a flexible approach to work. You will be customer-focused and passionate about supplying the highest levels of service to the project team.
  • Good organisational skills, including the ability to prioritise work under pressure and drive completion within deadlines.
  • Excellent attention to detail, good numeracy skills, and accurate typing skills.
  • Strong numerical skills as well as written and verbal communication skills.
  • Complete discretion in the handling of sensitive commercial information.
  • Able to work autonomously as the role is deadline-driven.
