Job Summary
We are seeking a highly skilled Senior Document Management Specialist to join our team at Murphy. As a key member of our Document Control team, you will be responsible for implementing, developing, and maintaining our document management systems and processes.
Key Responsibilities
- Manage the quality control process for documents, ensuring accuracy and compliance with company standards.
- Assist in the creation and maintenance of distribution lists, workflows, and review cycles.
- Verify the accuracy of filenames and ensure that electronic files are submitted correctly.
- Record the reason for change when documents are revised.
- Collate and issue project and site start-up packs.
- Manage changes by ensuring documents are processed correctly, made available to the commercial team, and linked to contract documents via our document management system.
- Collate and issue handover documentation, including operation and maintenance manuals, health and safety files, as-built records, and completion packs.
- Develop and train document controllers and assistant document controllers.
- Provide training on our document management system to project staff.
- Manage the scanning of documents and records, ensuring legibility and traceability.
- Assist with archiving documents, ensuring legibility and traceability.
- Undertake audits and reviews as required.
- Monitor the performance of the Document Control team and identify opportunities for improvement.
- Stay up-to-date with industry standards and best practices related to document control.
Requirements
- Working knowledge of document management systems, including ProjectWise, Hummingbird, BIW, and Aconex.
- Flexible and able to work in a fast-paced environment.
- Excellent communication and interpersonal skills.
