Role Overview

This role is responsible for the day-to-day management of our fleet of vans, ensuring they are maintained, serviced and allocated efficiently.

Key Responsibilities:

  • Maintain effective communication channels with engineers, driver line managers and other relevant parties to ensure quick support and minimize vehicle downtime.
  • Liaise with suppliers to manage van servicing and maintenance, as well as organize spare vans for engineers off the road.
  • Develop and implement written guidelines or FAQs for common van issues, ensuring timely resolution and minimizing disruptions.

Accidents/Damage Management:

  • Utilize standard forms/templates for reporting damage or RTAs to guarantee complete and accurate information.
  • Manage a database of trusted local repair agencies and schedule repair work to minimize vehicle downtime and optimize costs.

Fleet Swaps and New Vans:

  • Regularly review fleet usage and performance reports to identify needs and provide data-driven insights to inform decision-making.
  • Establish a comprehensive checklist for van preparation, including mechanical checks, signage and accessory installation, to ensure seamless handovers.

Leaver Van Management:

  • Employ standardized inspection forms to conduct thorough and consistent assessments, and capture photographic evidence for documentation purposes.
  • Collaborate with reliable cleaning services to facilitate quick turnarounds, and leverage partnerships with repair agencies for discounted rates.

Best Practices:

  • Utilize fleet MS Office software to log all van-related activities, including maintenance, repairs, allocation and condition reports, ensuring transparency and accountability.
  • Hold regular check-ins with Accounts, Suppliers and drivers to proactively address emerging issues and maintain a proactive approach to fleet management.

Requirements:

  • Possess strong organizational skills and attention to detail to manage multiple tasks and prioritize effectively.
  • Demonstrate excellent communication and interpersonal skills to build strong relationships with internal stakeholders and external partners.
