The Junior Office Assistant will play a vital role in supporting the business on day-to-day tasks, ensuring a smooth and efficient operation. This candidate will also provide assistance to the Receptionist, who is the first point of contact for external and internal clients.
Main Responsibilities:
- Supporting all teams and schemes within the business
- Assisting the receptionist with tasks and ensuring a professional image is maintained at all times
- Providing support to managers and Directors as needed
- Monitoring and ordering office supplies and stationery
- Liaising with external contractors to maintain office equipment
- Other ad-hoc administrative tasks
The Junior Office Assistant will also assist with a variety of tasks, including:
- Answering phone calls when the receptionist is absent
- Providing support across all teams in the event of absences
- Assisting with recording notifications of treatment from Clubs
- Completing debtors' reports
- Opening and identifying post for appropriate teams
- Indexing and scanning post onto our in-house filing database
- Returning invoices to providers/Clubs when necessary
- Working on ad-hoc tasks as requested
Key Requirements:
- 1+ years' practice or industry experience, or a school leaver with the appropriate qualifications
- Strong Microsoft Excel and Microsoft Office skills
- Excellent communication skills, with the ability to deal with contentious issues
- Knowledge of data protection/GDPR rules and workplace practices
- Ability to work independently and autonomously
- Willingness to support all areas of the business as needed
- Team player attitude
