Music Event Coordinator

The Music Event Manager will be responsible for overseeing all aspects of live music events, including advancing, event schedules, contracts, budgets, settlements, artist liaison, merchandise, and staffing. They will work closely with the Director, Music Programmer, and Technical team to ensure seamless event delivery.

Key Responsibilities
  • Manage event advance, including coordinating with artists, promoters, and internal departments.
  • Develop and maintain excellent working relationships with artists, partners, promoters, producers, and other ICA departments.
  • Work with the Technical Manager to ensure technical and staging requirements are met within budgetary parameters.
  • Plan and administer own promotions, including booking hotels and travel, and providing necessary transport as per contractual agreement.
  • Complete Certificates of Sponsorship or Letters of Invitation for non-EEA artists and supply information to artists for FEU tax exemptions/reductions as necessary.
  • Order riders and booking event catering within agreed budgets.
  • Secure rights for live streaming events.
  • Coordinate event timings with the ICA Bar team and communicate with programmers, promoters, and internal departments to arrange high-profile artist performances.
  • Create Function Sheets to brief other internal teams for every event.
Contract and Budget Management
  • Issue approved contracts and ensure they are confirmed, communicated, and understood by relevant parties before events go on sale.
  • Work closely with the Music Programmer to track budgets and report final figures after each event.
  • Reconcile budgets, manage post-concert settlements, and ensure invoices are paid following all live events.
Event Delivery
  • Attend and manage on-the-day event delivery for allocated shows and projects.
  • Work with the Executive Producer to produce monthly rotas for Event Supervisors to cover attendance of live events.
  • Oversee rehearsals, soundchecks, and performances in the ICA Theatre as the first point of contact on behalf of the ICA.
