About the Role
The Administrative Assistant, EMEA will provide administrative support to the Legal function, ensuring the smooth operation of corporate governance and contract administration. This role requires a proactive and solution-oriented individual with excellent organizational skills and attention to detail.
Key Responsibilities
- Maintain corporate records, including board meetings, resolutions, and compliance with regulatory requirements.
- Ensure all agreements are properly executed and maintained.
- Organize and maintain a virtual filing system, including Power of Attorneys and Guarantees, and file NDAs.
- Provide administrative support and diary management for the General Counsel's calendar, including scheduling meetings and appointments.
- Support client contract compliance requirements and assist with various office administration tasks.
- Track law firm engagement letters and billing rates.
- Support document preparation and review, including simple amendments and resolutions.
- Liaise with third-party providers on regulatory and legal requirements for cosec matters across EMEA.
- Assist with Board maintenance matters, such as coordinating and executing Board meetings, reviewing and executing resolutions, and appointment/removal of directors when necessary.
- Help respond to requests for copies of documents and policies.
- Review notices and send them to the appropriate business contact.
- Support the implementation of a contract management system.
- Assist with legal due diligence efforts relating to group matters.
- Liaise with the North America Legal team as needed.
Requirements
- University degree level or other administrative training certifications.
- 3+ years of relevant administrative experience.
- Experience working across multiple jurisdictions.
- Strong written and verbal communication skills.
- Ability to read, analyze, and interpret various legal documents.
- Excellent organization, time management, and problem-solving skills.
- Expertise in working with Word, Excel, and PowerPoint.
- Team player with the ability to work collaboratively with various people.
- Impeccable integrity, credibility, character, and ethics.
