Job Overview

A key role within our Hard FM Commercial team, the FM Operations Coordinator will provide administrative and strategic support to ensure the smooth delivery of commercial services within the Estates department.

This dynamic position combines administrative and strategic support to ensure the efficient delivery of commercial services within the Estates department. The FM Operations Coordinator will work closely with the Commercial Manager to build strong commercial knowledge and identify risks for onsite activities and projects.

Key Responsibilities:

  • Manage Sodexo, client, and customer expectations for all contract-related activities.
  • Work closely with the Commercial Manager to build strong commercial knowledge.
  • Identify risks for onsite activities and projects; work with the Commercial Manager to balance risks and rewards and create risk-reduction strategies.
  • Provide commercial advice and contract support to operational managers with guidance from the Commercial Manager.
  • Ensure any non-compliance (commercial or technical) is identified, assessed, and resolved in line with the contract.
  • Review and ensure compliance with internal procedures and governance processes.
  • Support the Projects & Lifecycle Teams in delivering commercially viable and compliant projects.
  • Analyse data to create reports, troubleshoot, predict, and plan future maintenance needs.

Requirements:

  • Experience in managing both external and internal customers, including handling difficult conversations with customers and stakeholders.
  • Strong people management skills.
  • Knowledge of Health and Safety regulations in the workplace.
  • Excellent report-writing abilities.
  • Flexible to meet the needs of a large healthcare estate.
  • Computer literate, ideally with experience using CAFM (Computer-Aided Facilities Management) systems.
  • Good verbal and written communication skills, with strong math abilities.
  • Self-motivated and able to adjust to changing priorities.
  • Problem-solving skills using a logical approach.
  • Calm and confident under pressure, with an understanding of urgency.
  • Willing to learn about key contracts, agreements, and schedules relevant to the role.
