Main Responsibilities:

As a Despatch Admin, you will be responsible for ensuring the smooth operation of our despatch process. This includes:

  • Reconciling all paperwork and ensuring that all delivery notes and load plans are available and signed.
  • Acquiring all necessary paperwork to aid claims recovery.
  • Filing POD paperwork from customers with all necessary information regarding each despatch.
  • Regularly checking the scanning system to ensure all loads have been scanned to order and despatched to order.
  • Processing and administering orders in accordance with legislative requirements.
  • Checking off shipping invoices and updating systems accordingly.
  • Liaising with internal departments to resolve any queries or issues related to despatch.
  • Ensuring that finished goods are despatched with the right paperwork to meet new legislative requirements.
  • Performing all administrative tasks related to despatch processes.
  • Ensuring adherence to health and safety procedures at all times.
  • Maintaining and improving systems and processes.
Ideal Candidate:

We are looking for a highly organized and detail-oriented individual with excellent administration experience. The ideal candidate will have:

  • Previous export or despatch administration experience (training will be provided).
  • Excellent administration skills and the ability to multitask.
  • An understanding of transport, export, and logistics compliance.
  • Strong Microsoft Office experience and an understanding of NAVISION/FOPS systems.
  • Previous experience working in a warehouse, manufacturing, freight, or transport environment.
  • Excellent communication skills and a hands-on approach.
