About the Role

We are seeking a highly organized and detail-oriented Music Programme Administrator to provide administrative support to the Music Programme Manager and the wider team at ARK Schools.

The successful candidate will be responsible for coordinating various administrative tasks, including planning, tracking, and reporting, as well as providing logistical, financial, and practical support to the team.

Key Responsibilities
  • Artist Coordination: Book artists and coordinate travel and accommodation arrangements as required.
  • Project Briefings: Prepare briefings for project stakeholders, including the Music team, staff, chaperones, and volunteers.
  • Event Coordination: Coordinate school, student, and delegate registration, communication, and attendance.
  • Venue Liaison: Liaise with venues in the lead-up to and during events.
  • Logistical Support: Coordinate printing, materials, and equipment required for events and projects.
  • Administrative Support: Provide administrative support to the Music team, including scheduling events, diarizing team calendars, and processing invoices and expenses.
  • Evaluation and Reporting: Assist the Music Programme Manager with the design and administration of evaluations, collecting and analyzing feedback, and preparing reports for funders and management.
  • Compliance and Safety: Ensure a safe, inclusive, and welcoming environment by adhering to all compliance requirements, including Health & Safety, Safeguarding, Insurance, Equality and Diversity, and data management in line with GDPR.
  • Media and Image Permissions: Ensure all media and image permissions are secured, and all records of photography and recordings are saved and securely stored.
  • Communication and Marketing: Update relevant 'ARK Music' social media channels, MS Teams channels, and Music intranet pages.
  • Student Resources: Create and update student resources for curriculum and events on the pupil-facing learning platform, SpArk.
Requirements
  • Professional Experience: 1-2 years of experience in a professional setting, preferably in programme and events administration.
  • Communication Skills: Ability to communicate clearly, concisely, and effectively.
  • Technical Skills: Highly computer literate, with excellent Word, Excel, and PowerPoint skills, including diary management using Microsoft Outlook.
  • Administrative Skills: Strong administration skills and the ability to maintain and implement effective systems.
  • Interpersonal Skills: Excellent interpersonal skills.
  • Organizational Skills: Strong organizational skills.
  • Independence and Teamwork: Able to work well independently and as part of a team.
