Job Summary

The Sales Administrator plays a crucial role in the sales process, providing administrative support to the sales team and ensuring efficient operations. Working closely with the Sales Administration Manager and the Data Manager, the Sales Administrator will maintain accurate records, check data accuracy for orders, and provide administrative support.

This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The Sales Administrator will be a team player working with all teams in the Commercial Department and collaborating with other teams such as Finance and Customer Care.

Key Responsibilities:
  1. Order processing: manage the order process, including creating orders, entitlements, and sending order acknowledgements. Collaborate with the accounts team to ensure orders are processed correctly.
  2. Inbound phone line and customer enquiries: manage queries from potential and existing customers via email and inbound sales phone line.
  3. Reporting: assist in the production of weekly and ad hoc reports to support the Commercial Department. Meet with the sales teams to add new information into the departmental report as required.
  4. Sales team support: contact schools as needed to support the sales process, assist with general D365 queries and admin, prepare sales proposals and contracts.
  5. Data quality projects: support and run ad hoc data quality improvement projects, such as updating customer contacts and checking legacy contract information.
  6. Upsells: create quotes and process for upsells, including DMS storage and unlimited SMS packages.
  7. Managing entitlements: manually add extra cases as needed, such as a blank system training case for new schools. Action requests from customer care regarding entitlements.
  8. Demo accounts: manage demo accounts and refresh them as needed. Assign demo accounts to sales personnel and maintain records in SharePoint.
  9. Commercial department processes: support and maintain adherence to commercial department processes, including the sickness absence procedure.
Qualifications:

Degree preferred but not essential. Excellent Microsoft Word, Excel, and IT skills. Previous experience as a sales administrator and/or using a CRM system is a plus.
