Property Administrator Job Description

Zachary Daniels Recruitment is pleased to partner with a retail and manufacturing business in their search for a Property Administrator to be based at the Head Office in Edinburgh.

The successful candidate will provide an exceptional administration function for the property team, supporting the property team to achieve their targets for the UK Portfolio of stores and manufacturing factory as the business continues to grow.

Key Responsibilities:
  • Manage property documentation and data, ensuring accuracy and compliance with company policies.
  • Coordinate incoming mail to the team email address, responding to queries and escalating issues as necessary.
  • Communicate on behalf of the team with Regional Retail Management teams, providing timely and effective updates.
  • Prepare reports for measurable team workload, highlighting key performance indicators and areas for improvement.
  • Assist the Property team with landlord contact, coordinating repairs and maintenance activities.
  • Support the Head of Property, providing administrative assistance and ensuring seamless day-to-day operations.
  • Administer invoices in conjunction with the property SLA, ensuring timely payment and compliance with contractual obligations.
  • Provide documentation and data to external consultants, as required.
  • Coordinate tender documentation, sending out requests for quotes to select contractors and monitoring responses.
  • Liaise with Store Staff, ensuring contractor access and facilitating communication.
  • Monitor timesheet data from Team Staff, ensuring accurate recording and reporting.
Requirements:
  • Experience in a similar role with facilities management, property management, or within a maintenance contractor.
  • Knowledge of contract law and property contracts.
  • Ability to follow instructions and deliver on deadlines.
  • Strong IT skills.

Zachary Daniels Recruitment offers a competitive salary of up to £30,000 dependent on experience for the Property Administrator position.
