Job Summary

This role is responsible for providing administrative support within the Probation Service, ensuring efficient processes and maintaining administration systems to promote team and Divisional objectives.

Key Responsibilities
  • Case Administration: Set up and maintain accurate information on relevant databases, ensuring effective administration of referrals and relationships between offender management, victims, interventions, and external agencies.
  • Record Management: Prepare, maintain, and collate case and other records, files, and management information in accordance with required standards.
  • Communication: Receive and distribute information and communications in an appropriate manner, providing cover for an effective and efficient reception and telephone enquiry service.
  • Specialist Support: Act as a single point of contact within the unit for specialist areas of work, dealing fairly and effectively with people on probation, some of whom may be in crisis or distress.
  • Enforcement Administration: Carry out enforcement administration as required, including making practical arrangements for the implementation of the Sentence Plan.
  • Resource Management: Maintain appropriate systems to ensure the effective use of general unit resources, making recommendations for improvement as necessary.
  • Visor Administration: Undertake specific Visor administration tasks in accordance with procedures.
  • Meetings and Support: Attend meetings as appropriate, providing support and taking minutes as required.
  • Health and Safety: Ensure all activities are conducted in accordance with Health and Safety policies and procedures.
  • Cover and Support: Provide cover within the unit and to other units within the LDU and Division as appropriate.
  • Safeguarding: Carry out safeguarding children duties in accordance with the PS statutory responsibilities and agency policies.
  • Pro-Social Modelling: Demonstrate pro-social modelling skills by consistently reinforcing pro-social behaviour and attitudes, challenging anti-social behaviour and attitudes.
Requirements

The job holder is expected to accept reasonable alterations and additional tasks of a similar level that may be necessary. An ability to fulfill all spoken aspects of the role with confidence through the medium of English is required.
