Key Responsibilities- Front-Line Reception Service: Provide a first point of contact for tenants and users, ensuring that all on-site visitors are recorded and issued with appropriate health and safety advice.
- Telephone Switchboard: Operate the telephone switchboard, handling calls quickly and efficiently, and referring to other officers as necessary.
- Administrative Support: Provide administrative support to tenants and users, including raising purchase orders and invoices, and maintaining accurate filing systems.
- Meeting Room Booking: Deal with all enquiries relating to the booking of meeting rooms, including preparation, setup, and cleaning up after each appointment.
- Marketing and Promotion: Support the promotion of our Business Centres to potential users, providing tours of the facilities and clear explanations of our support services.
- Health and Safety: Ensure the provision of a safe working environment for all staff, users, and visitors, in accordance with relevant legislation and advice from qualified health and safety professionals.
- Collaborative Team Player: Ability to work collaboratively as part of a team, including internal and external stakeholders.
- Knowledge of Corporate Policies: Knowledge of all corporate policies and legislation relevant to the management of Business Centres.
- Customer Service Skills: Good customer service and administrative skills, with the ability to work unsupervised and maintain professional conduct and service standards.
- Creative Problem-Solving: Ability to solve straightforward problems and maintain a professional front-line reception and customer service for all Centre users.
We are looking for someone who is able to manage multiple tasks while providing customers with the best possible service. You should be a good communicator, able to build strong professional relationships and empathize with people's needs. You should also be happy taking ownership of problems and finding ways to solve them, positive, enthusiastic, and able to adapt to fast-changing situations. Additionally, you should be confident using MS Office and other basic IT packages.
