**Administrator / Receptionist**

**Job Summary**:
The Administrator / Receptionist Role will be responsible for providing accurate and efficient administrative support in a fast-paced environment. This includes handling data entry into the CRM system (Business Pilot), managing switchboard calls, providing excellent customer service, and assisting with administrative tasks related to FENSA and GGFi certifications. The role requires the employee to be proactive, detail-oriented, and able to take ownership of customer enquiries. They will work closely with various teams to ensure efficient communication and problem resolution.

**Administrator / Receptionist Responsibilities**:
1) **Data Entry**:
Accurately enter customer and project data into the CRM system (Business Pilot), ensuring timely updates and maintenance of records.
- **Performance Indicators**:_

**Accuracy and Efficiency in Data Entry**: The ability to enter customer and project data accurately and in a timely manner into the CRM system.

2) **Call Handling and Enquiry Management**:
Answer switchboard calls, screen and direct enquiries to the relevant individuals / departments, and handle arising matters promptly and professionally.
- **Performance Indicators**:_

The efficiency and effectiveness in handling switchboard calls, screening enquiries, and promptly addressing arising matters.

3) **Dealing with Customer Enquiries**:
Take ownership of customer enquiries, ensuring proper follow-up and resolution by either passing it to the appropriate team or personally dealing with it.

The ability to take ownership of customer enquiries and ensure proper follow-up and resolution.

4) **Certification Processing and Administrative Tasks**:
Process FENSA and GGFi certifications for customers, ensuring all related administrative tasks are completed accurately and in a timely manner.

Measures accuracy and timeliness in processing FENSA and GGFi certifications, as well as completion of associated administrative tasks.

5) **Customer Service Excellence**:
Provide excellent personalised customer service to both new and existing customers, addressing their needs, concerns, and inquiries professionally and efficiently.

The quality of personalised customer service provided to both new and existing customers.

6) **Adaptability and Initiative**:
Perform other duties as reasonably required by the Director.
