About Oakfield Street Surgery

We are a busy GP Practice in Ystrad Mynach, seeking a part-time Medical Secretary to provide accurate, punctual, and efficient medical secretarial and administration support to our Partners, GPs, and registrars.

Main Duties of the Job

As a Medical Secretary, you will be responsible for providing a high-quality secretarial and administration service to the Practice and patients. This includes:

  • Efficiently processing and prioritizing referral letters from NHS eReferrals and the private sector using a digital dictation system.
  • Effectively operating the eReferrals computer system.
  • Receiving incoming and initiating outgoing telephone calls to facilitate timely and appropriate communication.
  • Liaising with professionals, staff, patients, and other organizations to assist with the resolution and administration of queries.
  • Franking post and taking it to the Post Office daily.
  • Ensuring adherence to Practice policies and procedures, including quality and diversity information governance, H&S, and confidentiality.
  • Providing cover for members of the secretarial team during periods of sickness and annual leave.
  • Any other duties as required.

Person Specification

We are looking for a candidate with:

  • Previous secretarial experience using a digital dictation system.
  • Excellent touch-typing skills.
  • High standards of numeracy and literacy.
  • Strong IT skills.
  • Good communication skills.
  • Attention to detail with a high level of accuracy.
  • Working under pressure within a busy working environment.
  • The ability to work on your own initiative and as part of a team.
  • To undertake training as required.

The post holder will assist in promoting and maintaining their own and others' health, safety, and security as defined in the practice Employee Safety Handbook and published procedures. This will include:

  • Using personal security systems within the workplace according to practice guidelines.
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
  • Making effective use of training to update knowledge and skills.
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way, and free from hazards.
  • Actively reporting health and safety hazards and infection hazards immediately when recognized.
  • Keeping own work areas and general areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder's role.
  • Undertaking periodic infection control training.
  • Reporting potential risks identified.
  • Demonstrating due regard for safeguarding and promoting the welfare of children.
