At Aspion, we are seeking a highly organized and detail-oriented individual to join our team as a Trainee Ships Agent. As a key member of our agency, you will play a crucial role in supporting shipping operations and delivering efficient administrative assistance within a busy office environment.

**Key Responsibilities:**

* Assist in the coordination of vessel arrivals and departures, ensuring regulatory compliance.
* Liaise with port authorities, customs, and shipping companies to ensure efficient cargo handling.
* Prepare and submit key documentation, such as Bills of Lading and customs declarations.
* Act as a point of contact for ship owners, charterers, and cargo interests during the shipping process.
* Provide regular updates on vessel status and operational developments.
* Assist in resolving issues related to vessel schedules and operational efficiency.
* Develop contingency plans for unforeseen circumstances affecting port operations.
* Maintain accurate records of transactions and communications.
* Assist with preparing estimates and invoices for port-related services.
* Work occasional out-of-hours shifts to meet the demands of vessel schedules.
* Support cross-departmental collaboration by sharing information and assistance.
* Contribute to onboarding and training new staff.
* Assist with inventory control and cargo management.
* Perform general office duties, including answering phones and filing.
* Manage day-to-day office operations, such as data entry and document organisation.
* Greet and assist visitors to the terminal.
* Handle internal and external correspondence.
* Help maintain up-to-date schedules and office calendars.
* Support invoice processing and budgeting activities.
* Train new staff on administrative procedures.
* Ensure compliance with Environmental, Health, and Safety (EHS) policies.
* Foster an inclusive work environment that promotes equality, diversity, and inclusion.

**Requirements:**

* Experience in shipping operations, maritime logistics, or office administration.
* Familiarity with port operations and maritime regulations is an advantage.
* Previous experience in ship agency or a related maritime role is highly desirable.
* Strong organisational, multitasking, and communication skills.
* Proficiency in Microsoft Office and shipping software.
* Analytical thinking and attention to detail.
* Ability to work independently and as part of a team.
* Excellent communication and interpersonal skills, with the ability to build strong relationships with diverse stakeholders.
* Highly organised, with the ability to manage multiple tasks and priorities in a fast-paced environment.
