Job Description

As a Service Coordinator, you will play a vital role in connecting our customers with our service team, ensuring seamless communication and efficient issue resolution.

You will coordinate service requests, schedule appointments, and maintain accurate records, utilising your computer proficiency, administrative expertise, and exceptional phone etiquette.

This Service Coordinator role is based in the AEP Ltd Service Department and involves following established processes and procedures.

Your key duties will include:

  • Document processing: Processing job sheets, waste transfer notes, customer enquiries and orders, supplier warranty claims, and Pro-forma invoices, and scanning and filing completed documentation.
  • Document Creation: Creating process job sheets, waste transfer notes, and sales orders, and converting sales orders into delivery notes.
  • Work Scheduling: Collaborating with the Depot Manager and Coordinator to plan and book engineer work according to service schedules and projects, ensuring all jobs are picked and running the service schedule through SAP.
  • Parts Sourcing and Quotations: Verifying that parts are in stock for service visits and remedial works, and liaising with purchasing or sourcing to obtain quotes from suppliers, reporting remedial works required to the service manager and quoting accordingly.

To be successful in this role, you will require:

  • Excellent customer service skills, including handling incoming calls and emails, passing/transferring calls, customer enquiries, service visits, breakdowns, and new plant enquiries.
  • Proficiency in Microsoft Office and Microsoft Outlook calendar management.
  • Administrative experience in an office environment.
  • Familiarity with QuickBooks.
  • Experience with Google Suite.
  • Good phone etiquette.
  • Organisational skills.
