Compliance Administrator Job Description

We are seeking a highly organized and detail-oriented Compliance Administrator to join our team at Integral UK Ltd. This role will be responsible for ensuring the smooth operation of our compliance processes, including scheduling and management of Portable Appliance Testing (PAT) and maintenance of our CAFM system.

Main Responsibilities:
  • Plan and manage PAT testing schedules, liaising with subcontractors and facilities managers as needed.
  • Upload completed documentation to various portals and sharepoints.
  • Liaise with subcontractors to ensure regular communication and progress updates.
  • Accurately record all necessary information for PAT testing scheduling.
  • Monitor and maintain agreed service levels to keep customers informed of progress.
  • Resolve or escalate any issues with PAT testing subcontractors.
  • Develop and maintain a good understanding of our JLL Corrigo application.
  • Carry out amendments to planned maintenance schedules and asset data in JLL Corrigo.
  • Raise Work Orders on the Corrigo system.
  • Assist the Asset Manager with asset verification, management, and documentation.
  • Assist the Compliance Supervisor with reviewing and progressing engineering defects.
  • Support the Capital Planning Manager with administration tasks and attend meetings as needed.
  • Review remedial actions following audits and inspections with FM's.
  • Be prepared to work on projects and initiatives at short notice to support business needs.
  • Update sharepoint and various portals for the Asset & Compliance Team.
  • Request purchase orders following receipt of quotes.
  • Maintain electronic filing locations.
Requirements:
  • Experience working in a work order/scheduling/mobile resource planning/FM environment is advantageous.
  • Knowledge of CAFM systems and PPM scheduling is an advantage.
  • Able to understand and act on verbal and written instructions/procedures.
  • Computer literate in Word, Excel, and other relevant software.
  • Excellent communication skills, both written and verbal, with high attention to detail.
  • Confident to manage own workload and prioritize tasks effectively.
  • Ability to stay calm in a high-paced environment.
