Job Title: Residential Property Administrator

About the Position:

We seek a seasoned Residential Property Administrator to join our team at Cluttons. This role involves overseeing a designated portfolio of properties, ensuring they meet regulatory and statutory requirements.

Key Responsibilities:
  1. Manage daily operations of assigned properties, ensuring compliance with regulations and laws.
  2. Collaborate with the branch to prepare properties for new tenancies or renewals of existing ones.
  3. Serve as the primary point of contact for tenant inquiries and concerns, providing prompt resolutions.
  4. Supervise maintenance requests from tenants, including coordination with external contractors and vendors.
  5. Ensure timely completion of refurbishment and larger works, adhering to pre- and post-tenancy protocols.
  6. Conduct regular site visits to inspect properties, update records, and identify areas for improvement.
  7. Oversee deposit returns, ensuring seamless process for both tenants and landlords.
  8. Process invoices for payment, verifying accuracy and legitimacy before approval.
  9. Manage service charge and ground rent payments, maintaining transparency and efficiency.
  10. Implement effective strategies to recover outstanding debts from tenants.
  11. Maintain the integrity and accuracy of our computerised property records system.
  12. Develop strong relationships with colleagues, landlords, and tenants through exceptional customer service.
Essential Qualifications:
  • Proven experience in lettings property management.
  • Desirable: ARLA or IRPM certification.
  • A-Level education or equivalent, or significant work experience.
  • Exceptional communication and interpersonal skills, with ability to navigate complex situations professionally.
  • Proven ability to multitask and manage competing priorities in high-pressure environments.
  • Detailed focus and organisational skills to maintain accurate records and databases.
  • Team player with excellent collaboration and problem-solving abilities.
