About the Role:

We are seeking a skilled Facilities Management Assistant to join our team at Nuclear Waste Services. As a key member of our facilities team, you will be responsible for providing a coordinated FM service for NWS buildings and supporting office activities for visitors and events.

Main Responsibilities:

  • Provide administrative and facilities support to the team, prioritizing work as necessary.
  • Deal with guests, visitors, service providers, contractors, and sub-contractors to coordinate site visits and meetings.
  • Raise ad-hoc purchase requisitions on behalf of the team for appropriate approval.
  • Participate in daily quality control checks for NWS buildings.
  • Maintain office attendance records for NWS buildings and distribute to those who require.
  • Manage RCL engineers via the contract review process.
  • Maintain the Facilities Management web page, supporting and updating where required.
  • Ensure production of documents (for both internal and external circulation) are in line with NDA quality standards and corporate branding.
  • Ensure all documents are recorded/handled in line with NDA security and information management guidelines (including adherence to FOI regulations).
  • Liaise with NDA on behalf of the FM Manager when required or in their absence.
  • Maintain the SharePoint FM filing system, keeping records up to date and in order.
  • Support the FM Manager with monthly contract review Agendas and Minute taking.
  • Support the FM Manager with audit documentation collation, reaching out to stakeholders in the business for information in a timely manner.
  • Support the Front of House Team in the event of absences/leave.
  • Coordinate appointments, activities for FM Manager if required.
  • Closely liaise and interact with all levels within the respective team and organization.

Requirements:

  • Good oral communication and written skills, together with a considerable level of ICT skills, including MS Word, Excel, PowerPoint, and Outlook.
  • Good organizational skills, attention to detail, and accuracy, together with good numerical skills.
  • Ideal experience within a similar role.
  • Outstanding customer service skills.
