Job Description

We are seeking an experienced Administrative Support Coordinator to join our team. The successful candidate will provide high-level administrative support to our Vice President, ensuring the smooth operation of our office.

  • Maintain and run general office procedures, including filing practices, supplies, and equipment management.
  • Provide administrative support to the Vice President, including Outlook schedule management, expense reports, and Accounts Payable reports.
  • Act as the first point of contact during the Vice President's absence.
  • Coordinate travel and conference arrangements, including registration, hotel bookings, and taxi reservations.
  • Manage department CVs, following Parexel's policy and ensuring they are up to date.
  • Assist in the orientation of new Medical Writing Services staff and Administrative personnel.
  • Support Medical Writers with billable project tasks, including photocopying, faxing, and client communication.
  • Coordinate department metrics and productivity measures.
  • Manage PMED setup and coordination for Medcom.
  • Coordinate Medcom Training in the Parexel Learning Management System.
  • Maintain department documentation, including organizational charts, phone lists, and SharePoint intranet pages.
