Duties and Responsibilities

  • To act as the first point of contact to the Home by answering the phone and operating a small telephone switchboard – receiving and transferring calls, recording and passing on accurate messages where necessary.
  • To deal with queries from the public and customers in a professional and courteous manner.
  • To monitor visitor access and maintain security awareness.
  • To provide general administrative and clerical support, including typing documents and keeping the reception area tidy.
  • To receive and greet visitors and members of the public, respond to their enquiries, and escort them to their meetings.
  • To receive deliveries and arrange for their distribution.
  • To book transport as required.
  • To deal with post and distribute to relevant departments and people.
  • To set up meeting facilities and arrange for catering.
  • To undertake all pre-employment checks and proactively support the on-boarding process.
  • To maintain employee file records up-to-date by updating changes in employee detail or status in a timely manner.
  • To arrange meetings, process confidential reports and documents, and track deadlines.

Requirements

  • At least one year's experience of switchboard or receptionist duties.
  • The ability to remain calm, helpful, and courteous whilst providing professional services to callers, visitors, residents, and fellow work colleagues.
  • Good time management and organizational skills.
  • Excellent communication skills with the ability to communicate at all levels.
  • Good IT skills, including Excel, Word, Outlook, and PowerPoint.
