We are seeking a skilled Contract Administrator to join our Neighbourhood and Estates Team at Havebury Housing Partnership. The successful candidate will provide administrative support on contracts, process invoices, and liaise with suppliers and contractors.
Key Responsibilities- Provide administrative support on contracts for Neighbourhood and Estates Team Leaders, including trees management, cleaning, and legal services contracts.
- Process invoices, checking against work issued, contract specification, and ensuring payments are approved in accordance with Financial Regulations and Standing Orders.
- Liaise with the Finance Team on payment, queries, recharges, budget coding, and variations to work related to Neighbourhood and Estate Services contracts, utilities, and estate management company service charges.
- Handle enquiries and requests from tenants and stakeholders regarding contract performance, record and monitor customer complaints, and escalate to Coordinators where necessary.
- Liaise with suppliers and contractors to obtain quotations, issue works orders, and monitor completions.
- Experience in administration, including checking and processing invoices, updating IT databases, matching work orders, managing data, and other records.
- Experience working in a busy office environment, dealing with enquiries, and using IT systems to record information, communications, and actions.
- Experience liaising with external contractors on contract requirements, complaints, and invoices.
- Good oral and written communication skills, able to keep accurate records, and communicate clearly with people of all backgrounds.
- Able to demonstrate accuracy and attention to detail when undertaking tasks.
- Excellent organisational skills, able to manage, plan, and deliver workload in accordance with priorities.
- An annual salary of £27,155.68.
- Full hybrid working conditions from home and our office in Bury St Edmunds.
- Flexible working around a 37-hour week.
- Annual Leave - 28 days per year, increasing to 32 days when you reach your 3rd year with us.
