Service Administrator Role

We are seeking a skilled Service Administrator to join our team at Whale Tankers Ltd.

Main Responsibilities:

  • Manage work in progress to ensure all jobs are raised and closed in line with requirements.
  • Process job sheets through to invoiced stage, checking all details.
  • Loading parts on to jobs and process goods receipting.
  • Process engineer time sheets to ensure payroll and work in progress are accurate.
  • Process annual tank test sheets and reports.
  • Raise and follow up of purchase order numbers when required.
  • Review and raise credits when required within authorisation limits.
  • Secure purchase order numbers from customers as required.
  • Collate, amend and verify warranty documentation in readiness for claim submission.
  • Ensure portals, databases and registers are always up to date.
  • Support and provide cover for workshop coordinator regarding vehicle check in, bookings and scheduling.
  • Ownership of service department document filing, both digital and hard copies.

Requirements:

  • Good communication skills and the ability to work on your own initiative.
  • Be an effective team player and actively contribute to our continual improvement culture.
  • Computer Literate including all MS Office Applications.
  • Self-motivation and a positive attitude.
  • Strong organisational and process skills.
  • Previous experience of a customer service role advantageous.
  • Excellent written and oral communication skills.
  • Excellent attention to detail.
  • Ability to work under pressure and prioritise work load.
