Service Administrator Role
We are seeking a skilled Service Administrator to join our team at Whale Tankers Ltd.
Main Responsibilities:
- Manage work in progress to ensure all jobs are raised and closed in line with requirements.
- Process job sheets through to invoiced stage, checking all details.
- Loading parts on to jobs and process goods receipting.
- Process engineer time sheets to ensure payroll and work in progress are accurate.
- Process annual tank test sheets and reports.
- Raise and follow up of purchase order numbers when required.
- Review and raise credits when required within authorisation limits.
- Secure purchase order numbers from customers as required.
- Collate, amend and verify warranty documentation in readiness for claim submission.
- Ensure portals, databases and registers are always up to date.
- Support and provide cover for workshop coordinator regarding vehicle check in, bookings and scheduling.
- Ownership of service department document filing, both digital and hard copies.
Requirements:
- Good communication skills and the ability to work on your own initiative.
- Be an effective team player and actively contribute to our continual improvement culture.
- Computer Literate including all MS Office Applications.
- Self-motivation and a positive attitude.
- Strong organisational and process skills.
- Previous experience of a customer service role advantageous.
- Excellent written and oral communication skills.
- Excellent attention to detail.
- Ability to work under pressure and prioritise work load.
