Job Overview:

We are seeking an experienced Financial Operations Coordinator to join our team at Barhale. In this role, you will be responsible for administering and managing all aspects of assigned supplier accounts.

Key Responsibilities:

  • Sorting post and dealing with exceptions, particularly on stop accounts.
  • Registering purchase ledger and subcontract invoices & credits daily, some of which may be subject to CIS tax & Reverse Charge VAT.
  • Query resolution monitoring and control.
  • Supplier reconciliation to be performed in line with KPIs.
  • Chasing missing invoices or credits with vendors and requesting copies.
  • Correcting errors in Accounts Payable Journals.
  • Reconciling direct debits, processing documents, and matching against payments taken directly from our bank account.
  • Prioritizing and addressing Overdue letters/7-day notice letters immediately.
  • Working with Cost clerks, QS's, procurement, and suppliers to ensure audit/process compliance and identify opportunities for improvement.
  • Selecting suppliers for weekly payments, checking and authorizing payment proposals, and executing payments when authorized by the Manager.
  • Vendor master file setup and maintenance, confirming bank details directly with suppliers.
  • Verifying that all details are up-to-date on the vendor master file, including correct name, address, VAT, and Company registration numbers, bank details, etc.
  • In time, covering for colleagues in their absence, e.g., subcontract ledger (certifications), cash postings, Sales Ledger invoices, and valuations – skills-dependent.
  • Understanding of Reverse charge VAT and Construction Industry Scheme Tax (CIS).

Key Performance Indicators:

  • No. of invoices/credits registered against daily/monthly targets.
  • Error rate of data entered.
  • Monthly Supplier Reconciliations – set against KPIs.
  • No accounts on stop.

Essential Requirements:

  • Strong IT skills, including MS Office (Excel, Word).

Salary: £25,000 - £30,000 per annum.
