Job Description:

We are seeking a highly organized and communicative Design Admin Assistant to support the Design & Sales team with coordination and communication of information and document management.

Key Responsibilities:

• Ensure customer's collection sheets are up to date with all relevant information and visual aids.
• Keep customer visit and meeting notes/spreadsheets up to date and take notes in meetings where appropriate.
• Update design number spreadsheets and allocate unique numbers.
• Add designs into the ERP system.
• Collaborate with the archive and design team to keep customer reservations accurate using the annex.
• Extract data and run Critical Path reports/production plans to ensure design-related information is populated and readily available.
• Gather centre and legend approval from customers to keep critical paths on track.
• Manage the logging, storing, and return of external archive documents.
• Attend weekly design department and critical path meetings.
• Populate design specification sheets for use by the quality and sales teams.
• Raise purchase orders for the Design and Engraving departments using the ERP system.
• Support with quoting customers for design-related work and charging this out through Sales Orders.
• Monitor screen stocks for the Conventional printing department.
• Raise engraving instructions within the ERP system.
• Create design instruction packs for the conventional engraving and sampling departments.
• Support on all relevant ERP data entry for the design and sales teams.

About the Role:

As a Design Admin Assistant, you will play a vital role in ensuring the smooth operation of the design department. You will work closely with the design and sales teams to provide administrative support and ensure that all tasks are completed efficiently and effectively.

Requirements:

• Proficient in the use of Microsoft Office.
• Highly desirable to have experience in other administrative roles previously.
• Strong time-management skills and multi-tasking abilities.
• Aptitude for learning new software and skills quickly.
• Strong written and verbal communication skills.
• An interest in design or textiles would be desirable.
