Property and Workplace Apprentice

We are seeking a highly motivated and organized Property and Workplace Apprentice to join our team in Leeds. As a key member of our Property and Workplace team, you will provide administrative support to our colleagues and clients, while working towards the successful completion of a Level 3 Business Administration apprenticeship.
The successful candidate will have the opportunity to learn from experienced colleagues and mentors, building a wide range of skills and experience by working across various departments, including Reprographics, Records Management, Mail Services, Front of House, Document Production, and Legal Administration.
Key Responsibilities
- Provide administrative support to the Property and Workplace team, including filing, scheduling, data entry, and finance support.
- Deal with queries and requests from internal and external clients, and visitors at all levels.
- Assist with incoming and outgoing post, DX and courier deliveries.
- Records management (archiving) requests and returns as required.
- Distribution of external and internal deliveries as required.
- Engage with approved suppliers to ensure stock levels within the office and department are maintained.
- Production and finishing of hard copy documents to a high standard in various sizes.
- Undertaking printing requests from a variety of applications including Microsoft office suite.
- Scanning of documents to distribute externally or store in line with the e-filing policy.
- Manipulation and distribution of electronic documents using specialized software including OCR, indexing, and combining files to ready for distribution via various methods such as E-Bible or secure FTP.
- Assisting with meeting room bookings including updating the system, catering, IT requirements and setting up video conference facilities and WebEx meetings.
- Creation and amendment of documents within the firm's house style guidelines.
- Opening of matters in the firm's document management system and filing of documents within agreed protocols.
- Assisting with event organization.
- Completion of training to ensure both technical and personal skill development.
- To undertake ad hoc departmental duties from time to time in accordance with departmental and business needs, as identified by the manager.
- Read and understand the requirements of the firm's Health and Safety policy and ensure that it is applied appropriately.

- Good level of IT knowledge, including Microsoft Office Suite with an understanding of file structures and a wide range of applications.
- Confident and able to build trust and rapport to develop effective relationships.
- Able to handle multiple priorities, working to sometimes conflicting timescales in a fast-paced and challenging environment.
- Remains calm under pressure.
