Job Summary:

We are seeking a highly organized and detail-oriented Customer Service Administrator to join our dynamic team at Hales Group Limited. As a key member of our operations team, you will play a crucial role in supporting the smooth allocation and processing of work orders for our team of skilled engineers.

Key Responsibilities:

  • Administrative Support: Provide administrative assistance to the operations team, including preparing and managing documents, maintaining accurate files, and handling correspondence.
  • Helpdesk Support: Manage incoming queries and requests from clients, providing prompt and professional responses to ensure excellent customer service.
  • Work Order Management: Allocate work orders to engineers based on their availability and workload, ensuring efficient use of resources.
  • Job Progress Monitoring: Monitor job progress and dashboard data to ensure compliance with contractual Service Level Agreements (SLAs).
  • Reporting and Documentation: Process completed jobsheets, forward reports to clients, and upload documents to customer portals.
  • Site Access and Permits: Arrange site access and obtain necessary permits for work in various locations.
  • Team Collaboration: Collaborate with team members to ensure all administrative tasks are completed accurately and on time.

Candidate Requirements:

  • Experience: Proven experience in a helpdesk, customer service, or call centre environment is highly preferred.
  • Organizational Skills: Strong organizational skills with keen attention to detail.
  • Communication Skills: Excellent written and verbal communication skills.
  • Time Management: Strong time management skills, with the ability to prioritize tasks and meet deadlines.
  • Problem-Solving: Proactive problem solver with the ability to make sound decisions.
  • Technical Skills: Accurate data entry skills and familiarity with office software (e.g., Microsoft Office Suite).
