Job Overview

We are seeking a dedicated Medical Secretary to join our team in the Ophthalmology department. As the primary point of contact, you will play a vital role in managing the patient pathway from referral to treatment, ensuring seamless coordination and exceptional patient care.

The successful candidate will work closely with clinicians and other healthcare professionals to schedule appointments, coordinate diagnostic procedures, and maintain accurate records. Your exceptional customer service skills and ability to multitask will make you an invaluable asset to our team.

Main Responsibilities

  • Process and log referrals, including paper and electronic submissions, in accordance with Trust policies and SOPs.
  • Schedule appointments and procedures, ensuring timely and efficient use of resources.
  • Coordinate diagnostic and investigative procedures, ensuring timely completion and availability of results.
  • Lead on the completion of clinic cancellation forms and process according to SOP.
  • Reschedule outpatient clinics as requested, in line with waiting time targets.
  • Use the Trust's medical transcription system and ensure that urgent letters are processed in accordance with SOP.
  • Liaise with patient records staff, ward clerks, and other organisations to ensure all medical notes, referral letters, results, and discharge summaries are available for outpatient appointments and consultations.

Person Specification

Education and Qualifications

  • RSA III or equivalent administration qualification.
  • GCSE or equivalent in English and Maths, grades A-C or equivalent experience.
  • NVQ level II in business administration/customer care or acquired equivalent experience.

Occupational Experience

  • Experience of using full range of IT systems and patient data systems.
  • Experience of using Microsoft Office, including Word and Excel.
  • Experience of scheduling appointments.
  • Experience of working in a multidisciplinary team.
  • Customer Care Experience.
