Job Title: Customer Service Coordinator
Salary: £25,000-£28,000
Hours: Full-time, Monday-Friday 8:45am-5pm
Location: Stoke-on-Trent, Staffordshire
Responsibilities:
- Maintain clear and effective communication with customers to ensure their needs are met and expectations are exceeded.
- Handle incoming customer orders by verifying availability, confirming prices, and agreeing on delivery dates before processing them in SAP, keeping customers informed of any potential delays or changes.
- Coordinate sample requests, including pre-shipment samples when necessary, to ensure timely and accurate delivery.
- Dispatch samples via courier when trained personnel are unavailable, adhering to company protocols and regulations.
- Regularly complete training to ensure proper documentation for hazardous airfreight shipments and verify accurate drum labeling before dispatch, maintaining compliance with industry standards.
- Record and follow up on customer complaints, resolving issues promptly and professionally.
- Serve as an SAP Key User, providing technical support and guidance to colleagues.
- Create and manage new customer accounts, ensuring accurate and up-to-date information.
- Ensure that Customer Master Data remains current and accurate, reflecting changes in customer information and preferences.
- Oversee the allocation of bulk finished materials in storage to fulfill upcoming customer orders, arranging logistics as needed.
- Collaborate with Production to plan canning schedules, particularly when a product is in limited supply, ensuring timely and efficient production.
- Process end-of-month consignment stock, reconciling inventory and ensuring accurate reporting.
- Coordinate with the Logistics department if customers change delivery dates after transport arrangements have been made, adjusting schedules and communicating with customers.
About You:
- Strong administrative skills, with experience in data entry, record-keeping, and document management.
- Excellent IT proficiency, with expertise in Microsoft Office and SAP.
- A sound understanding of business operations and customer service principles.
- Excellent interpersonal skills, with the ability to build strong relationships with customers and colleagues.
- Experience and ability to manage multiple tasks simultaneously, prioritizing and meeting deadlines.
- Excellent time management, with the ability to work independently and as part of a team.
