Job Purpose

This is a multi-faceted role that requires a highly organised and self-motivated individual to manage the day-to-day operations of our office. The successful candidate will work closely with our Executive Director and other team members to ensure the smooth functioning of our organisation.

Key Responsibilities
  • Office Management
    • Oversee the day-to-day running of the office, including communication with stakeholders and supporters.
    • Ensure the office is compliant with health and safety requirements and data protection regulations.
    • Manage office equipment, stationery, and supplies.
    • Be the point of contact for the landlord and other tenants in the shared building.
  • Finance and Administration
    • Manage petty cash and record financial expenditure and income from events.
    • Record donations and maintain records of receipts and payments.
    • Perform other record-keeping tasks as agreed with the Executive Director.
  • Communications and Fundraising
    • Design and distribute our e-newsletter using online tools.
    • Upload information to our website and maintain our donor and members' database.
    • Correspond with supporters and donors.
    • Produce and print leaflets, advertisements, and maintain records of appeals.
    • Distribute mailings for appeals, newsletters, and to our membership.
  • Information Technology
    • Maintain IT equipment, including updating anti-virus software.
    • Maintain our filing systems and back-up files.
    • Liaise with our website designer/manager and edit/upload documents and photos to the website.
    • Manage email accounts and telephone and broadband accounts.
Requirements
  • At least one year of office management and administration experience in a small company or organisation within the voluntary or community sector.
  • Excellent communication skills and ability to work well in a team.
  • IT skills and experience at a level that supports email, database, and basic excel spreadsheets.
  • Ability to stay focused and efficient in the face of changing priorities and multiple demands.
Desirable Requirements
  • Interest in and knowledge of international development issues.
  • Photoshop and Canva experience.
