Job Summary

Thursby Surgery is seeking two Medical Receptionists to join our team. As a Medical Receptionist, you will play a vital role in providing exceptional patient care and administrative support to our healthcare team.

Main Responsibilities
  • Implement office procedures and work in accordance with written protocols.
  • Receive patients, consult with members of the practice team, and process appointment requests.
  • Use the EMIS Web Clinical System to process requests for appointments and visits.
  • Act as a care navigator, directing callers to the appropriate healthcare professional.
  • Use your judgment, practice systems, and communication skills to ensure patients who need urgent consultation are seen according to need.
  • Enter requests for home visits, carefully recording all relevant details and referring to the duty doctor when necessary.
  • Deal with general enquiries, explain procedures, and make new and follow-up appointments.
  • Receive and make telephone calls, diverting calls and taking messages with accuracy and prompt delivery.
  • Handle completed repeat prescriptions, checking names and addresses.
  • Register new patients, entering computer data and medical records.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, in accordance with practice policy and procedures.
  • Process patient changes of address, updating computer data and medical records.
  • Advise patients of relevant charges for private services, accept payment, and issue receipts.
  • Ensure a working knowledge of the telephone system during and after hours.
  • Respond to all requests and queries from patients, team members, and associated healthcare agencies.
  • Ensure building security, having a thorough knowledge of doors, windows, and alarms.
  • Input and extract patient information to and from the EMIS Web Clinical System as required.
  • Take messages and pass on information in a timely and appropriate manner.
  • Action requests for repeat prescriptions, ensuring they are ready for collection by the patient within 48 hours.
  • Scan and photocopy as required.
  • Process and distribute incoming and outgoing mail.
  • File and retrieve paperwork, updating as necessary.
  • Clear and re-stock consulting rooms as required.
  • Keep the reception area, notice-boards, and leaflet dispensers updated, tidy, and free from obstructions and clutter.
  • Inform the line manager of low stock levels, such as stationery or other supplies.
  • Be able to cover all reception positions as necessary to meet the needs of the practice.
  • Complete administrative tasks as requested, including requirements of Clinical Coding, management of medication documentation and processing, secretarial duties, and support of private work functions, for which developed appropriate training will be provided.
Other Responsibilities
  • The listed duties and responsibilities are not exhaustive and remain subject to change.
  • A staff rota is developed in advance and may include early starts, late finishes, and/or Saturday mornings over both sites.
  • All staff are expected to attend mandatory training and meetings as required.
