Position Overview

Role: Regional Executive Assistant - Europe

Work Arrangement: Hybrid, Full Time - In-office presence required three days a week.

The Regional Executive Assistant plays a vital role within the Regional Leadership organization, providing support to the Senior Vice President (SVP) of Europe and the European Leadership team across various locations. This position involves collaborating closely with leadership as an Executive Assistant and serving as a Program Manager for significant initiatives. Responsibilities include overseeing business operations and acquiring new competencies.

  • Directly report to the SVP Europe while collaborating with the Head of Operations, Head of HR, and other members of the European leadership team.
  • Facilitate the scheduling of regional meetings in coordination with other executive assistants across different regions.
  • Communicate updates and agenda items to the regional leadership team and assist with various projects as required.
  • Prepare agendas for quarterly, monthly, and weekly leadership meetings, documenting minutes and ensuring follow-up on action items.
  • Coordinate the preparation of presentation materials for regular regional meetings.
  • Manage the budget and expense submissions related to regional engagement activities.
  • Maintain relationships with Finance, Payroll, and Strategic Sourcing partners, as well as liaise with travel agencies.
  • Organize and facilitate regional engagement events, including annual Sales Kick-offs and Quarterly Award Dinners, while collaborating with cross-functional leaders for both virtual and in-person events.
  • Arrange travel and manage expenses for the SVP Europe.

Required Qualifications

  • Minimum of 5 years of experience as an Executive Assistant to a Regional Executive Team.
  • Proven experience in a global company operating across various regions and time zones.
  • Background in coordinating engagement activities and managing budgets.
  • Proficient in business applications, including G Suite, Excel, PowerPoint, and Slack.
  • Ability to handle confidential information with discretion.
  • Exceptional organizational skills with a keen attention to detail.
  • Strong written and verbal communication abilities.
  • Positive attitude and willingness to take on additional responsibilities.
