Temporary Receptionist/Administrator

We are seeking an experienced Temporary Receptionist/Administrator to join our team at our client's office in Portishead, North Somerset. This is a fantastic opportunity for a skilled and organized individual to provide administrative support and ensure the smooth operation of our client's office.

Key Responsibilities:
  • Filing and Record-Keeping: Manage electronic and physical filing systems for correspondence, letters, and invoices, ensuring accurate and up-to-date records.
  • Minute Taking: Take minutes of meetings and ensure they are accurately recorded and distributed to relevant parties.
  • Enquiry Log: Maintain an up-to-date and accurate enquiry log at all times.
  • Invoicing: Manage electronic and hard-copy invoicing systems, ensuring timely and accurate processing.
  • Customer Service: Provide excellent customer service, answering phone calls, and relaying messages accurately.
  • Mail Handling: Handle incoming mail, collect, open, date stamp, and organize, as well as prepare outgoing mail using a franking machine.
  • Key Management: Keep records of issued keys.
  • Meetings and Refreshments: Provide refreshments for meetings and ensure the meeting room is prepared and ready for use.
Requirements:
  • Experience: Previous experience in reception or administrative roles is essential.
  • Computer Skills: Proficiency in computer skills, including Microsoft Office and other relevant software.
  • Multitasking: Ability to multitask and prioritize tasks effectively.
  • Minute Taking: Experience in minute taking is highly desirable.
  • Customer Service: Strong customer service skills and the ability to provide excellent service to clients and colleagues.
