This is a key role within our team at Avantor, where you will play a vital part in supporting our onsite Management Team and ensuring smooth operational processes for over 180 associates. You will manage day-to-day administrative tasks, facilitate meetings, and oversee critical onboarding and offboarding activities, all while contributing to our mission of delivering world-class scientific support.
Key Responsibilities- Act as the daily administrative point of contact for 180+ associates, including onsite Management Team and Head of Services, ensuring seamless communication and operational efficiency across all levels of the organization and with external stakeholders.
- Oversee the maintenance of internal communication platforms, ensuring up-to-date content, accurate distribution lists, and the timely administration of compliance and H&S documentation.
- Organize and facilitate high-level meetings for senior management, handling everything from agenda preparation and minute-taking to action tracking and coordinating complex travel arrangements.
- Act as a key support to the Head of Avantor Services, driving business initiatives and supporting strategic projects to enhance operational effectiveness and organizational success.
- Lead the coordination of onboarding and offboarding processes, managing relationships with internal departments and clients to ensure smooth transitions and appropriate accesses for all new hires.
- Education: GCSEs or equivalent qualifications.
- Experience: A minimum of three years' experience in a similar role, supporting a Leadership Team/Head of Department/Head of Services, ideally within the Pharmaceutical or Life Sciences industry.
- Line management experience is highly desirable, as this role has the potential to evolve into a people management position.
- Strong reporting and analytical skills, with advanced proficiency in MS Office, particularly in Excel and PowerPoint for senior-level presentations.
- Proven ability to manage spreadsheets related to budgets, costs, and overall spend.
- Experience in facilitating meetings and managing travel arrangements for senior management.
