Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Reed. As an Administrative Assistant, you will play a critical role in supporting our business operations and ensuring the smooth day-to-day functioning of our office.

Key Responsibilities:

  • Accreditation Management: Manage and update company accreditations, ensuring all documents are current and compliant with regulatory requirements.
  • Vehicle Oversight: Oversee the daily check sheets for vehicles and communicate any issues to the relevant parties.
  • Project Reporting: Create detailed project reports using PowerPoint and Microsoft Word, highlighting key findings and recommendations.
  • Training and Security: Maintain and update the training matrix, booking engineers for training as necessary to keep qualifications current, and ensure engineers' security passes are up to date.
  • Documentation and Compliance: Utilize EMIR to attach job pictures to the corresponding job files and complete customer questionnaires with company details as and when required.

Requirements:

  • Administrative Experience: Proven experience in administration and document control, with a strong understanding of regulatory requirements.
  • Technical Skills: Proficiency in Microsoft Office Suite, particularly PowerPoint and Word, and familiarity with EMIR or similar software.
  • Organizational Skills: Excellent organizational skills and the ability to manage multiple tasks efficiently, with a strong attention to detail.
  • Communication Skills: Strong communication skills and the ability to liaise with various stakeholders, including engineers and management.
