Job Summary

Horner Recruitment is seeking a highly skilled and experienced Vehicle Rental Operations Manager to join our team. As a key member of our operations team, you will be responsible for managing the rental fleet, coordinating transport, and ensuring seamless customer service.

Key Responsibilities
  • Short-Term Rental (STR) Fleet Management
    • Process customer enquiries for vehicle hire, including quotations and follow-up
    • Prepare and manage STR agreements, transport notes, and other relevant documents
    • Monthly invoicing and posting of invoices for casual trucks
    • Ensure accurate identification and labelling of machines in the depot
    • Maintain truck files, including filing of Transport Notes and STR Agreements
    • Ensure LOLER inspections are up-to-date and current for all STR machines
    • Resolve invoice queries related to Contract and STR
    • Liaise with other departments to ensure system updates for truck movements and Contract files
    • Produce weekly availability lists for the STR fleet
    • Monitor STR utilisation and achieve minimum 85% utilisation, collaborating with Sales, Contract, and Operations Manager to identify disposal opportunities
    • Monitor hour meter readings and raise invoices for excess hour charges where applicable
  • Contract Fleet Management
    • Closely liaise with sales administration to coordinate delivery and handover of new trucks
    • Inform the workshop of all new/used trucks being delivered into the depot for preparation and delivery, ensuring accurate labelling and identification
    • In conjunction with the Service Manager, inspect machines returned from long-term hire for damage and send quotations for repairs within 48 hours
  • Transportation Logistics
    • Daily scheduling of transport for hire, demos, new, and refurbished trucks
    • Responsible for transport budget for internal and external movements, providing monthly summaries of costs and income
    • Ensure internal transport is utilised to minimise external transport costs
    • Allocate transport costs to customers or internal departments as required
Requirements

To be successful in this role, you will need:

  • Excellent communication and organisational skills
  • Ability to work in a fast-paced environment and prioritise tasks effectively
  • Strong analytical and problem-solving skills
  • Experience in fleet management, transportation logistics, or a related field
  • Proficiency in Microsoft Office and other relevant software
