Job Summary

JM Legal Ltd is seeking a highly organized and detail-oriented Private Client Support Specialist to join their team. As a key member of the Private Client department, you will provide administrative support to a team of fee earners, ensuring the smooth running of the team and contributing to the firm's success.

Key Responsibilities

  • Diary Management: Efficiently manage the diaries of fee earners, arranging meetings, appointments, and video calls as needed.
  • Travel Arrangements: Organize travel arrangements for business trips, both domestically and internationally.
  • Document Preparation: Support the preparation and management of legal documents, including Wills, Letters of Wishes, LPAs, Trust documents, and other related materials.
  • Task Management: Respond quickly to new tasks set by the team, utilizing tools such as BigHand to ensure timely completion.
  • Client Communication: Communicate with clients and other stakeholders, providing administrative and case-related support as needed.
  • File Management: Maintain and organize team files, ensuring information is easily accessible via iManage.
  • AML Support: Liaise with the firm's AML team to open new matters, following established procedures and obtaining required documents from clients.
  • Business Development: Support the Private Client team's business development initiatives, including updating the CRM with client information and activity.
  • Billing Coordination: Coordinate the billing process for fee-earners, opening matters in 3E Elite and liaising with the Accounts & Finance team for instructions and finalization of invoices.

Requirements

  • Highly organized and detail-oriented individual with excellent administrative skills.
  • Ability to work efficiently in a fast-paced environment, prioritizing tasks and managing multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
  • Proficiency in using various software applications, including iManage, BigHand, and 3E Elite.
