Position Overview:

The Project Coordinator plays a crucial role in overseeing the administrative functions of both client and organizational projects. This includes monitoring project timelines, ensuring alignment with client expectations, assisting in scheduling and logistical arrangements, and maintaining consistent communication with team members and management.

Key Responsibilities:

  • Manage dual aspects of the role: administrative tasks and manual handling/production.
  • Collect and organize incoming mail, utilizing a scanning device to digitize questionnaires, staff surveys, and correspondence.
  • Accurately code and input data into the company’s database.
  • Prepare and pack questionnaire bundles, letters, and informational leaflets.
  • Load pallet trucks as part of manual handling duties.
  • Operate machinery, including scanning devices.

Specific Duties Include:

  • Operating envelope inserting machines, production printers, data capture scanners, guillotines, and letter openers.
  • Printing and verifying mailing letters and questionnaires.
  • Managing email invitations and overseeing their distribution.
  • Preparing outgoing survey materials for dispatch.
  • Conducting integrity checks on outgoing mailings.
  • Picking and packing questionnaires for courier delivery to clients.
  • Sorting and opening incoming mail.
  • Utilizing the company’s custom database for data management.
  • Coding and entering survey information as needed.
  • Receiving and documenting stock deliveries.
  • Preparing mailing items for dispatch, including booking through online platforms.
  • Performing routine maintenance on machinery and office equipment.
  • Filing and archiving documents efficiently.
  • Conducting regular stock counts and raising Duty of Care issues as necessary.
  • Regularly using MS Excel for data management.
  • Providing assistance to various teams across the organization when required.

Qualifications:

  • Exceptional customer service abilities.

  • Proficiency and interest in computer applications.

Education:

A Bachelor's degree in a technical or business-related discipline is preferred.
