Role Overview

The Client Relations team ensures that homeowners receive exceptional support following their property acquisition journey.

In this customer-centric position, you will engage with clients who expect their residences to meet the highest standards. Your role will involve providing answers and practical assistance, drawing on your background in construction or building, as well as your commitment to quality and professionalism.

Key Responsibilities

Reporting to the Head of Client Relations or the Client Relations Manager, you will assist in managing all client-related matters until resolution, through direct communication with both internal and external stakeholders. Additionally, you will coordinate departmental administration to maintain operational efficiency.

  • Ensure compliance with all relevant safety, health, and environmental policies, prioritizing team safety.
  • Adhere to established Client Relations policies and procedures, addressing all client concerns promptly and satisfactorily.
  • Handle all forms of communication (calls, emails, online inquiries) with professionalism and courtesy, accurately documenting issues in the company's IT system.
  • Collaborate with colleagues to guarantee continuous telephone coverage throughout business hours.
  • Organize inspections for remedial inquiries to validate warranty issues when necessary.
  • Act as a liaison between Site Management teams, Client Relations Operatives, and external contractors to ensure timely completion of remedial work, in accordance with warranty standards and service level agreements.
  • Communicate with the Head of Client Relations to ensure all defects are addressed by the appropriate personnel in a cost-effective manner.
  • Utilize IT systems and reporting tools to manage defect resolutions and identify performance issues to the Head of Client Relations.
  • Coordinate with Commercial/Buying departments to procure materials for defect resolution and manage contra-charges as needed.
  • Engage with other departments to ensure client inquiries or concerns are handled professionally and efficiently.
  • Provide administrative support, including managing customer correspondence, electronic and paper filing, report generation, and maintaining action logs for internal meetings.
  • Conduct post-completion satisfaction calls with clients.
  • Update and distribute weekly reports to relevant personnel.
  • Promote and adhere to all company values, systems, policies, and procedures.
  • Perform other relevant duties as required.
Qualifications

To excel in this position, we seek candidates with:

  • Experience in a professional administrative or secretarial role.
  • A background in a fast-paced customer service environment.
  • Strong communication skills, both written and verbal.
  • Intermediate to advanced proficiency in MS Office applications, along with excellent typing skills.
  • A collaborative team player who supports colleagues.
  • A resilient and assertive individual capable of influencing others and managing challenging client demands.
  • Self-discipline, exceptional time management skills, and the ability to juggle multiple priorities.
  • The capability to multi-task and work efficiently under pressure.
