Job Overview

Position Scope:

Support the Manager and Supervisor in all facets of the Ocean Export Division, ensuring the efficient and timely transportation of goods while delivering outstanding customer service.

KEY RESPONSIBILITIES

Team Management:

  • Collaborate with the manager/supervisor to identify, develop, and mentor your second-in-command.
  • Assist the supervisor as required:
  • Distribute workloads among team members to maintain seamless operations during peak periods or staff shortages.
  • Act as a mentor for team members.
  • Oversee the training of new hires in accordance with company standards.
  • Regularly communicate departmental objectives and expectations to the team to foster engagement and accountability.

Operational Excellence:

  • Guarantee a smooth and timely flow of freight processes.
  • Prepare essential documentation for international shipping.
  • Negotiate and coordinate rates with contracted service providers for space and services.
  • Ensure accurate and prompt billing for clients and vendors.
  • Maintain precise and timely data entry in our operational systems.
  • Engage with customers to facilitate their international export shipments, adhering to service standards.
  • Comply with all regulations, including internal policies and external governmental requirements.
  • Continuously assess departmental processes for efficiency improvements.
  • Ensure adherence to customer-specific standard operating procedures.
  • Collaborate with the team to meet Key Performance Indicators (KPIs) as per company guidelines.
  • Monitor shipment reports to guarantee total customer satisfaction.
  • Manage international communications.
  • Assist the supervisor in the following areas:
  • Conduct daily reviews of operational reports and collaborate with the team on updating event codes.
  • Audit files to ensure compliance with operational standards.
  • Build and sustain strong relationships with vendors (shipping lines, trucking companies, etc.) and customers.
  • Evaluate vendor performance periodically, focusing on potential improvements and corrective action plans.

Customer Engagement:

  • Support the manager and sales team as needed:
  • Assist in timely responses to information requests and provide competitive pricing aligned with customer service requirements.
  • Participate in the transition of new business and updates to existing accounts.
  • Engage in retention initiatives and conduct customer reviews to document in the CRM.

Financial Oversight:

  • Proactively manage accounts to ensure payments are received within 30 days.
  • Adhere to company credit policies effectively.
  • Ensure accurate and timely vendor billing and resolve any accounting discrepancies.
  • Monitor accounts payable to vendors using relevant reports.
  • Address intercompany accounting discrepancies as necessary.

Regulatory Compliance:

  • Foster a culture of compliance by diligently following all company policies and regulations.
  • Maintain open communication with the team to ensure awareness of policies and regulations.
  • Build a positive relationship with the Trade Compliance Manager to support compliance initiatives and training.

Training Requirements:
