Key Responsibilities:
- Calendar Management: Oversee and coordinate calendars, appointments, and meeting schedules, ensuring deadlines are met.
- Travel Coordination: Arrange travel logistics, including flights, accommodations, and transportation through our travel management system.
- Documentation Preparation: Draft and refine correspondence, presentations, and reports as necessary.
- Meeting Arrangements: Organize meetings, manage hospitality, and welcome clients.
- Confidentiality: Handle sensitive information with utmost discretion and maintain confidentiality.
- Project Assistance: Support special projects, events, and other ad hoc tasks as needed.
- Communication Management: Prioritize and manage incoming communications, including emails.
- Proactive Support: Anticipate the needs of executives and address them proactively.
- Timesheet Management: Input timesheets on a weekly basis.
- Expense Processing: Manage expense and mileage claims efficiently.
- Collaboration: Work closely with the Front of House team to ensure seamless operations and support company initiatives.
- Organizational Insight: Develop a comprehensive understanding of the agency's culture, personnel, and current affairs.
- Cultural Insight: Provide insights on the cultural implications of business decisions.
Qualifications:
- Demonstrated experience as an Executive Assistant or in a similar role, ideally in a dynamic environment.
- Exceptional communication and interpersonal skills.
- Strong organizational capabilities and meticulous attention to detail.
- Friendly and approachable demeanor.
- Ability to interact effectively with clients and colleagues at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Capacity to multitask and prioritize effectively.
- Trustworthiness and discretion in handling confidential information.
- Flexibility and readiness to embrace new challenges.
- Experience in the advertising or marketing sector is advantageous.
- Basic data management skills, including charting and pivot tables in Excel, are a plus.
