Hays Specialist Recruitment Limited is seeking a highly skilled and experienced Personal Assistant to join their team at their headquarters in Laindon, Essex. As the right-hand person to the Managing Director, you will be responsible for providing high-level administrative support, ensuring the smooth operation of daily activities, and handling sensitive information with discretion and confidentiality.
Key Responsibilities
- Ensure the smooth operation of daily activities
- Provide administrative support, including calendar management, organizing and maintaining appointments, meetings, and travel plans
- Coordinate meetings, prepare agendas and minutes, and type correspondence and documents
- Book and plan travel logistics, including flights, accommodations, transportation, and itineraries
- Manage expenses, reconcile receipts, and prepare expense submissions
- Handle sensitive information with discretion and confidentiality
- Manage personal tasks, such as making appointments, running errands, and handling personal correspondence
- Plan and organize corporate and personal events, meetings, and conferences as needed
- Liaise with stakeholders and provide office administration
Requirements
- Several years of experience in an administrative or executive assistant role
- Excellent interpersonal and communication skills, enabling effective interaction with stakeholders
- Confident in managing responsibilities, taking initiative, and adapting to change
- Keen attention to detail, ensuring accuracy in document preparation and scheduling tasks
- Good touch-typing speed and proficiency in Microsoft Office 365, especially Word
